Assist Project Managers in coordinating the necessary activities to ensure the fulfillment of contracts. Work with accounting to monitor the status of invoices and payments. Assist the Contracts Administration department by routing, preparing contracts for clients, insurance certificates, bonds, consent of sureties, maintaining the master contract files and all support required by department head. Complete AIA documents for customer billing on a monthly basis according to contract requirements Handle lien releases as required by customer. Prepare close-out documents as needed. Perform clerical duties as necessary. Arrange for travel reservations and temporary living accommodations for personnel. Reconcile billing and invoices. Distribute necessary documents to appropriate personnel. Send collection notices. Distribute preliminary notices for related projects. Maintain documentation and file keeping for management and project records. Process contracts accordingly. Distribute and handle necessary bond information and consent of sureties. Monitor and ensure the company complies with all insurance requirements for each project.
High School Diploma or equivalent and at least 1 year of closely related clerical and/or administrative experience.
